Project Control

In every programme, there is going to be a management team to ensure its success. It is a group of people who find and prevent risks, handle resources, plan and organise overall execution, and more. They have a structured hierarchy where each person has different types of responsibilities. One of the roles you often see in an organisation is project control.

What it does is assess whether the proposed work is worth doing from preparation until the finish. Also, people who are in this role need to think about the possibilities of how things could have gone wrong and how to handle it if it happens. For the task, they shared a similar core with the project management on a small assignment. Project control plays its part in a larger job, where they have to work alongside planners, schedulers, and risk managers.

Having this role for the task can be helpful because it manages costs, assures delivery, and protects investment. An effective one will increase the likelihood of successful outcomes. Starting from improving the basis on which projects are launched to identifying and mitigating issues to save time and resource costs.

What is the role of project control?

The primary job of this role is planning and scheduling. Therefore, the task will have a detailed project schedule that is sequenced logically and completed on time. This role uses tools such as Gantt charts, Critical Path Method (CPM), and software such as Primavera P6 or MS Project to support this function.

Moreover, project control plays a key role in the work, ensuring everything stays aligned with its planned objectives regarding scope, time, cost, and quality. In other words, this is the backbone of effective project management. People who have this responsibility have to continuously monitor performance and support making decisions based on data. They are taking care of elements like:

Project planning

This is the foundation of every work. Project control needs to define the scope, objectives, and deliverables, develop schedule and resource plans, and set baselines for cost, time and scope. A good strategy provides the benchmark for controlling task performance. However, they need to involve other parties to prevent any confusion and conflict during the process.

Scheduling

Time is precious, including in the programme. That means it is important to have effective scheduling where all activities are in a logical sequence with time allocated properly. Project control needs to establish a timeline with milestones and track task durations and dependencies. It also uses tools like Gantt charts and CPM for better effectiveness.

Cost control

Every type of job will need a budget. The role of project control is to create and manage it. Throughout the process, it compares the actual costs with planned budgets and forecast costs to complete and potential overruns. Failing this will result in financial problems and operational inefficiencies, including budget overruns, missed deadlines, reduced profitability, and even potential business failure.

Scope control

When a project is underway, it needs to stay on its goals. It means that it needs to be delivered without unnecessary changes (scope creep) from what was originally agreed upon. The task of project control is to keep it within the scope. If there are any changes, they need proper evaluation and approval. This way, it prevents any illegal work or features.

Risk management

A project control needs to look for any potential risks in the work. Then, they can review and provide prevention methods to avoid the negative effects of the task. Continuous risk monitoring and updating the mitigation plan when the risks evolve have to be done by this role throughout the process.

Performance measurement

This method can tell how well the task is doing in terms of time, cost, and scope. The project control looks at the KPIs (Key Performance Indicators) with the help of tools like the Cost Performance Index (CPI) and Schedule Performance Index (SPI). After that, they can compare the data against the planned performance. Using this method also can highlight variances and trends.

Reporting and communication

Miscommunication can be fatal. That is why having regular communication and reporting to the other parties about progress, issues, and forecasts is essential. Project control can create timely and informed decisions through dashboards, progress reports, and forecasts. It involves stakeholders in making decisions while eliminating any communication issues and corrective actions.

Quality Control

Although it is often a separate process, project control has to pay attention to the deliverables. They have to make sure that the work meets the required standards and customer expectations. They can achieve this through monitoring product and process quality and conducting inspections and reviews.

Change management

Even with the best plan, some changes are inevitable. Therefore, the role of project control is to handle this event to prevent disruption and unplanned costs or delays. They are going to manage documents and evaluate change requests, review the impact on time, cost, and scope, and gain formal approval before doing the changes.
